1. Getting Started

Create an Account

  1. Go to zoom.us.
  2. Click Sign Up, It’s Free to create a new account.
  3. Follow the on-screen instructions to sign up with your email, Google, or Facebook account.

Download Zoom

  • Desktop: Download the Zoom desktop client from https://zoom.us/download.
  • Mobile: Download the app from the App Store (iOS) or Google Play Store (Android).

Basic Requirements

  • Internet: A stable connection (1.5 Mbps up/down for HD).
  • Camera and Microphone: Built-in or external.

2. Setting Up a Zoom Meeting

Scheduling a Meeting

  1. Open the Zoom app and select Schedule.
  2. Set the Date & Time, Duration, and Time Zone.
  3. Configure additional options, like video and audio preferences.

Configuring Meeting Settings

  1. Security: Set a meeting passcode and enable a waiting room.
  2. Audio Options: Choose Computer Audio or Phone.
  3. Enable Join Before Host: Allows participants to join without the host.

Sharing Meeting Details

  1. After scheduling, click Copy Invitation to copy meeting details.
  2. Share details via email, chat, or calendar invite.

3. Joining a Zoom Meeting

Joining via Link

  1. Click on the meeting link you received in an invitation.
  2. Choose to join via the Zoom app or directly in a browser.

Joining via Meeting ID

  1. Open Zoom and click Join a Meeting.
  2. Enter the Meeting ID and Password if prompted.

Using Zoom App vs. Browser

  • Zoom App: Full functionality and control.
  • Browser: Suitable if you cannot install the app; some features may be limited.

4. In-Meeting Controls and Features

Audio and Video Settings

  1. Mute/Unmute: Click the microphone icon to toggle.
  2. Start/Stop Video: Click the camera icon to toggle.
  3. Click the arrow next to the microphone or camera icon to access settings like Audio Device or Video Background.

Participants Panel

  • Click Participants to see who is in the meeting.
  • Raise Hand or Lower Hand: Click to request speaking or indicate input.

Chat

  • Open the Chat panel to communicate via text.
  • Direct Messages: Click on a participant’s name to message them privately.

Screen Sharing

  1. Click Share Screen.
  2. Choose a specific screen, window, or application to share.

Reactions and Non-Verbal Feedback

  • Click Reactions to send emojis like Thumbs Up or Clap.

5. Advanced Features

Breakout Rooms

  1. Hosts: Enable in Settings under Meeting (Advanced).
  2. In a meeting, click Breakout Rooms to create and assign participants to separate rooms.

Polling

  • Hosts: Create polls from the Polls tab in the meeting setup.
  • During the meeting, click Polls to launch a poll for participants.

Recording and Transcriptions

  • Record: Click Record to start a meeting recording.
  • Transcriptions: Enable in Settings > Recording if available.

Security and Privacy Tips

  • Use Passcodes and Waiting Rooms to control access.
  • Be cautious of Screen Sharing permissions to prevent disruptions.

Etiquette for Meetings

  • Mute when not speaking to minimize background noise.
  • Use Reactions and Chat to communicate without interrupting.

Troubleshooting Common Issues

  • Audio: Ensure your microphone and speakers are correctly selected.
  • Video: Check your camera settings, and make sure it’s not in use by another app.
  • Connectivity: Switch to a wired connection or move closer to the router.
